Accountant Key Performance Indicators (KPI)

Stimulating employees to achieve new goals and effectively complete tasks through incentives is accepted in almost every organization. Correct assessment of achievements requires a clear goal setting and certain criteria for the significance of the achieved result. To specifically regulate employee achievements, a system has been created based on a set of performance indicators. It helps employees be aware of how they can achieve the desired goal (salary increase, career growth and other bonuses), and managers objectively assess the level of staff effort expended.

What kind of professional accountant is he?

Availability of education in a specialty is one of the key issues that an employer is interested in when selecting a new employee. The criterion is one of the most important, but it is not exhaustive. The concept of “professional qualities of an accountant” includes other elements. Conventionally, they can be listed in order of importance.

  1. Knowledge. The requirement is mandatory and fair. An accountant must have a solid theoretical base, be fluent in terms (fixed assets, current assets, balance sheet, posting, primary documents, reporting, etc.), and at least have minimal computer skills.
  2. Experience. Its presence allows an accountant to apply for higher-paying vacancies or ask for an increase. However, we should not forget that work experience is not just an entry in the work book that is shown at an interview. Practical skills must be present in reality. Having experience makes it possible to quickly adapt to another place of work, quickly delve into the process and avoid mistakes when accounting.
  3. Literacy. An accountant needs this skill. After all, a person in this position constantly works with documents, letters, and reports. The presence of errors in important papers will not be a plus for the operation of the enterprise.
  4. Knowledge of special accounting programs. This skill allows you to maintain full-fledged automated accounting at the enterprise, optimizing working time.

qualities of an accountant

It can be difficult for a manager to understand the level of professional skills of an accountant during a 15-minute interview. To do this, at many enterprises the applicant is first hired for a probationary period, during which his work is secretly monitored.

Writing a resume for an accountant position

Nowadays, when looking for a job, writing a resume is of particular importance. Having a correctly compiled CV listing the duties performed significantly increases the applicant’s chances of quickly finding a well-paid job. To write a competent resume for an accountant, it is very useful to use templates and sample documents, ready-made examples of which can be found in our article. The effect of your resume will be enhanced by a cover letter and recommendations from previous employers.

Resume of Deputy Chief Accountant

A resume is a kind of business card. A person applying for this position will submit a resume to a potential employer. And based on it, the employer will decide whether a particular person is suitable for him or not. Therefore, a serious approach is required to writing a resume.

The document must be drawn up correctly and contain detailed information about the job applicant. Having studied its contents, the employer should obtain maximum information and evaluate the employee from the point of view of professionalism. In the resume test, you must provide brief personal information. The main emphasis should be on skills and abilities, but you should not embellish your professional abilities.

When drawing up a document, you should build a certain structure. Thanks to this, a potential employer will better perceive the information and will definitely note all the professional merits of the person who submitted his resume. When drawing up a document, it is advisable to proceed from the requirements specified by the employer in the vacancy announcement.

How to Write an Effective Resume

Regardless of what profession you are looking for - a design engineer, a lawyer, an IT specialist or an accountant - you must adhere to certain rules when writing a professional resume. There is a generally accepted resume structure, which in most cases is also applicable to accountants.

Good resume template

The resume structure when looking for an accountant job remains standard

We recommend reading: 402 Federal Law on Accounting, latest edition 2020

While using the standard structure for writing a resume, you must also adhere to practice-tested principles for filling out the main points of the document. Of course, there are no perfect rules, but by following the tips below, you will increase your chances of finding the job you want.

Correct job title

It is necessary to accurately indicate the position for which the applicant is applying. If this is the area of accounting, then under no circumstances should you write about your consent to any position from cashier to chief accountant. You must specifically indicate that you, for example, are applying for the position of senior accountant in the analytical department or for the vacancy of an accountant-analyst. Even if you are well versed in all the nuances of accounting work, it is better to create a separate resume for each specialty.

Desired salary amount

It is necessary to indicate the specific salary for which the applicant is applying. Of course, before doing this, you should familiarize yourself with the current salary levels. It is necessary to avoid indicating a wide range with a difference of several times between the minimum and maximum suitable salaries. At the same time, there is no need to indicate the salary up to the ruble, for example, 21,320 rubles. Round to the nearest thousand.

List of Basic Skills

There is no need to over-praise yourself and report exaggerated or inaccurate data about your professional knowledge. For example, if you are unfamiliar with some accounting programs, then you do not need to write that you have mastered all accounting programs. When interviewing or starting your new job, your knowledge will be tested and you could find yourself in a very sticky position.

Perfect photo

It is advisable to supplement the text with a recent photograph of yourself, in which your face should be clearly visible. It is quite natural that the applicant should look attractive in the photograph. In this case, it is desirable that the accountant in the photo wears business clothes.

Correct writing and formatting of text

Be sure to check your resume for grammatical and syntax errors. Avoid overly complex sentences and use short, concise phrases.

What shouldn't be in a good resume

  • There is no need to compose too long a text: 1–2 pages will be enough.
  • Do not provide personal details such as exact address and passport details. Indicate your city of residence and mobile phone number.
  • Avoid links to your pages on social networks. This should only be done if there are positive characteristics of your personal data on social networks.
  • There can be no jokes on a resume. This is a business document, so before you start working, refrain from even a hint of humor.

To correctly compose an accountant’s resume, you must carefully study the requirements for filling out sections of this document.

General recommendations for writing a resume

The presentation of skills and work experience should not be voluminous. Your goal is to convince the employer of your uniqueness and irreplaceability. When studying a document, the director always compares the candidate’s professionalism with his own costs, so you need to give your resume additional weight.

Read our article: How to correctly send a resume to an employer's email.

The presentation of a document depends on the little things.

From your business-appropriate photo to your brief description of yourself, everything should look professional. Please note that all blocks of the template must be filled out. Lack of information will mean that you are hiding something or have nothing to say.

Pay close attention to your job responsibilities and your functions. There is no need to list everything that an accountant working with the “primary” accountant must do.

Read the job requirements carefully and fill in the application form with only relevant information. If an employer needs a fixed asset accounting specialist, then it is not worth mentioning in your resume that you have worked in the payroll area for a long time. For the vacancy of an accountant of a budgetary institution, additional clarifications will be required, it is worth remembering this.

Be respectful of the job requirements and you will definitely be noticed.

An accountant's resume must include a detailed description of your professional knowledge.

Personal qualities

In your resume, it is advisable to mention that you have those personal qualities that are especially valued when working in the accounting field. And this:

Example of KPI for a chief accountant

Let's consider an example of a chief accountant's calculation based on 4 coefficients:

Z – untimely execution of calculations: Z = Z fact./Z plan, where Z fact. – actual time costs for reporting.

Zplan. – planned time costs: P – volume of overdue payments; P = (Ppo/Ptot.) × 100%, where Po – the amount of overdue obligations, Ptot. – the amount of unpaid obligations.

N – overpayments to counterparties; N = (Nomelt/Nr) × 100%, where Nomelt. – the amount of paid obligations.

Nр – actual amount billed for payment: O – errors in maintaining accounts, O = O total. – O return.ext., where O return.ext. – volume of correct accounts in monetary terms. O total height – the volume of all accounts in monetary terms.

Example 1. Accountant A:

Z = Z actual/Z plan = 56/37 =1.51,

P = (Ppo/Ptotal) × 100% = 120/3600*100=3%

N= (N pay/Nр) × 100% = 6500/6500*100=100%

O = O total height – O return alt =35 — 35=0

Based on the results obtained, we can draw conclusions: Z>0 – this means that the work was completed not only on time, but also with plenty of time; P <50% indicates low delinquency rates; N=100% indicates the availability of all payments in accordance with needs; and O corresponding to zero indicates that there are no errors in keeping accounts.

All considered KPI indicators are positive, which means that the chief accountant’s work efficiency is high and corresponds to 4 points.

If you have no work experience: what to write + sample

This case is very common. If you just graduated from university, where can you get work experience? But you have many other advantages, including:

  • endurance (performance);
  • the ability and, most importantly, the desire to improve your knowledge;
  • knowledge of modern accounting methods;
  • Foreign language skills.

How to write a resume for a novice accountant (assistant specialist) + sample

It is necessary to list in your CV the latest theoretical knowledge you acquired at the Faculty of Economics, indicate what computer technologies you know, and whether you know foreign languages. If you have participated in any student conferences, meetings, or industrial internships, then this must be reflected in your resume. Of course, you shouldn’t over-praise yourself, but under no circumstances should you write that you don’t know anything.

At the same time, there is no need to give out unnecessary information that is not related to your future professional activities. For example, if you took part in judo competitions, then this has nothing to do with your professional capabilities. But it’s worth mentioning that during your summer internship you worked at a bank as an assistant cashier.

If you indicate your desire to develop your knowledge in the professional field, this will definitely make a favorable impression on your potential employers.

Sample resume for an aspiring accountant without work experience: the required professional skills and personal qualities are indicated

And it also doesn’t hurt to get a reference from your institute teachers, who can note your diligence, ability to quickly master new educational material, and desire to learn.

Skills/Qualifications

This is one of the key blocks in a resume. Here the applicant needs to list the skills he has.

This block includes all types of skills: – professional – such as full implementation of personnel and tax accounting at the enterprise, maintaining warehouse records, maintaining a store cash book and others, – technical – these are the skills to use software systems (1C, Taxcom, Bank-Client etc.), proficiency in MS Office, skills in using office equipment.

Here is an example of an accountant's resume, which lists the key skills of a specialist:

  • Full maintenance of accounting and tax records for legal entities and individual entrepreneurs in the basic regime and simplified taxation regime.

  • Maintaining all areas of accounting: bank, cash desk, accountable persons, settlements with counterparties, settlements with suppliers and customers, materials, expense accounting, sales, payroll, fixed assets, etc.
  • Monitoring the status of accounts receivable/payable.
  • Maintaining contracts with suppliers and clients.
  • Making payments in the Bank-client system.
  • Expense reports. Travel expenses.
  • Obtaining certificates of absence of debts on taxes and fees.
  • Conducting tax reconciliations, experience in counter, desk audits and experience in passing labor inspection inspections.

Your advantage in the job market is your skills and experience that go beyond the bare minimum—the general set of skills that most professionals possess. If you have such skills, they should definitely be reflected in your resume. For example:

  • creating accounting and tax accounting from scratch or restoring it, correcting mistakes of other accountants,
  • automation of accounting for new companies,
  • conducting personnel records, creating and maintaining personal files of employees,
  • participation in the development of job descriptions,
  • liquidation of enterprises,
  • management of several legal entities,
  • conducting an economic analysis of the organization.

An important point: you will add importance to yourself in the eyes of the employer if you indicate not only skills, but also achievements in your resume. Achievements can be mentioned in the same block.

  • ensuring correct calculation and timely transfer of payments to state and local budgets,
  • timely independent preparation and submission of tax and accounting reports,
  • development of an enterprise’s accounting policy taking into account tax minimization,
  • successful completion of tax and customs audits,
  • conducting an economic analysis of the economic and financial activities of the enterprise, optimizing the financial activities of the enterprise.

Find among your skills those that set you apart from other specialists - they are rare and at the same time in demand. Be sure to mention them in your resume and cover letter.

The main thing is to know where to go

Have you realized that you want and can develop further? So, we need to start by defining the goal. This is the most difficult, but also the most important. How accurately you define your goal will determine whether you reach it or not. Ask yourself: What type of work do I enjoy? At what points does work not seem routine to me? Based on the answers, put together a picture and “try it on” for the position. If you want vertical growth, it's important to not just do your job well, but also achieve great results. Albert Einstein said: “You don’t get ahead by doing your job well; you need to do something new that is not written in your job description. You need to be ready to make decisions and be responsible for the results.

Another point that is often forgotten is that your manager needs to know about your successes. Talk about your achievements, emphasizing the benefit they brought to the employer.

The chief accountant must be meticulous, stress-resistant and have a keen operational mindset. Quickly respond to changes and work with a large amount of information - this is what is required from a specialist of this level.

Those who want to move further need to master related areas of knowledge: economics, marketing, analytics, etc., in order to see accounting not as separate sections, but as a single system.

Additional knowledge and competencies will also be useful for those who decide to go freelance or work for an outsourcing company. We are talking about the ability to organize your activities: this is about building relationships with clients, and about meeting deadlines, and about time management in multitasking conditions. In addition, it is especially important for such specialists to master modern means of communication and automation, since personal trips to clients will take a lot of time.

— A remote accountant is the same professional in the field of accounting, but actively uses information technology. The entire process from receiving an electronic primary document to submitting financial statements can now be implemented via the Internet, without being present at the client’s office, says Konstantin Tatarov, candidate of economic sciences, practicing chief accountant, lecturer at Kontur.School. — When the need for advanced training arises, this issue is also resolved remotely. An accounting service employee must quickly educate himself, because he will have to simultaneously keep records of various types of enterprises and master the specifics of accounting in the course of work. There is simply no time for standard studies.

However, accountants sometimes choose a different path: they define a specialization and develop as experts in it. Among our readers there are tax consultants, budget accounting experts, etc. Their experience and knowledge are applicable in the field of education, in the consulting services market, and in professional publications. It is easy to combine such activities with work in accounting or management of your own outsourcing company.

As you can see, there are a lot of development options, and there are also a lot of successful stories. Many of our readers have gone from an ordinary accountant to a chief accountant, from a chief accountant to a financial director, from an accountant on staff to the owner of an outsourcing company, and, conversely, from an ordinary specialist in service accounting to a chief accountant on the company’s staff. The main thing is to decide what exactly you want, not to be afraid and confidently move towards the designated goal, and our experts will help with this.

What to take for performance indicators

As a basis, you need to take the main processes in which the accountant participates.

You can reward an accountant for:

  • no claims from tax authorities;
  • submitted reports on time;
  • no fines or fines no more than the agreed amount (sometimes you can’t do without fines);
  • absence of errors in primary documents;
  • invoices issued on time;
  • correctly calculated wages, etc.

As you can see, the list looks a little strange, because submitting reports on time and correctly calculating taxes and wages are the usual standards of work for an accountant, for which he receives a salary. It turns out that the business owner has to pay bonuses so that accountants do not make mistakes and do not have to pay fines. But this is the specificity of the work of accountants - their work is not visible until there are errors. Therefore, the system of indicators for an accountant is mainly based on the absence of errors, fines, violations and claims.

If you outsource your accounting, then everything for which in-house accounting is rewarded - meeting reporting deadlines, absence of errors and complaints from controllers, etc. - is the standard of service within the framework of the subscription fee. There is no need to pay extra for the fact that there were no errors or fines, for the fact that an annual report was prepared, etc. On the contrary, the outsourcing company itself loses money if it makes a mistake, because it bears responsibility and pays fines from its own pocket. 1C-WiseAdvice accountants work according to strictly prescribed regulations. Deadlines for submitting reports, tax amounts, etc. agreed in advance with the client.

In order not to overpay for what should be done anyway, some companies use the following scheme: they assign a small fixed salary to the accountant and a variable part, which depends on the achievement of indicators. Thus, if an accountant works well, he receives a regular salary, and if he does poorly, he receives a small salary. For example, a salary of 20 thousand and a bonus from 0 to 35 thousand.

Another option is that the bonus is paid only during reporting periods, when the accountant’s workload increases, and the rest of the time he receives only a salary.

The main thing is that the list of indicators does not include processes that the accountant cannot influence. And the indicators should be measurable, not vague. Otherwise, it will be indicators for the sake of indicators; they will not motivate the accountant to work well.

Case Study

For one of our current clients, the bonus indicator for a staff accountant was stated as follows: “High performance in performing the most complex (extraordinary) work and achieving high performance.” What does high performance mean? What are the high numbers? What exactly must an accountant do to receive a bonus on this item?

Here is a striking example of a formal approach to developing KPIs, when nothing is clear and there is room for subjective assessment. But the wording “Timely issuance of pay slips and the absence of errors in the calculation of wages” sounds more specific. The accountant knows that he will receive part of the bonus for issuing “settlements” on time and correctly calculating the salary.

There is no need to come up with dozens of indicators; for an ordinary accountant, five are enough.

This is what a checklist for calculating the bonus of an ordinary accountant might look like

Index Weight Completion percentage Total including weight
Timely execution of documents 25% 100% 25%
No errors in primary documents 25% 100% 25%
No complaints from clients and counterparties 25% 100% 25%
No complaints from other departments of the company 15% 80% 12%
Compliance with internal labor regulations 10% 100% 10%
Total 100% 97%

In this example, the accountant would receive 97% of the maximum bonus amount.

If the bonus is issued for an entire department, then the labor participation coefficient of each employee is additionally determined and his share in the total amount is calculated.

This is a simplified example with general indicators only to show the principle. Each company determines its own indicators and their significance; it all depends on the functions of the accountant and the specifics of the company’s activities.

You can include in the list:

  • extracurricular work;
  • correcting errors in documents of other departments;
  • training and mentoring;
  • performing additional functions, etc.

To develop a more complex and detailed bonus assessment, it is better to turn to specialists.
