- at the end of the answer, indicate the position and full name of the person authorized to sign it, put a stamp (if available).
It is necessary to send a response to the complaint in a way that guarantees its receipt by the citizen (by courier, by mail with acknowledgment of receipt, by hand, by e-mail with notification).
What types are possible?
Conventionally, a response letter to a request can be divided into 2 main types:

The main difference between these types of letters is their content.

A negative answer is shorter, but it must also contain a reasoned formulation, including not only the reasons for the refusal, but also a list of reasons. Also, the negative letter must contain conditions under which the organization that made the request will still be able to obtain the necessary information.
How to write?
It is better to start your request with a brief explanation of the reasons for your request. Simply demanding information without giving reasons (and even in the form of an ultimatum, as some do) is bad form. Write literally one introductory phrase, for example:
- “based on our preliminary agreements”;
- “in order to prevent possible controversial issues”;
- “in accordance with the concluded agreement”;
- "to conclude a contract."
If necessary, you can refer to legislative acts. For example, if the law requires that before concluding an agreement you familiarize yourself with any papers, you can write in the letter: “In accordance with Article of the Federal Law of July 24, 2012 No. 397-FZ...”. You can get to the point without preliminary explanation only in cases where the reason for the request is obvious (for example, if you are writing a commercial proposal request letter according to the sample). But if the reason for your request is non-standard, you should describe the situation and state your motives in detail so that the recipient does not have any questions.
How to correctly compose and sample it
Before drawing up a response, the applicant should be informed in any convenient way about the receipt of the request via the contacts specified in it (the request) - telephone, email or otherwise.

About providing documents
A request for documents must contain:
- a list of requested documentation indicating the number of required copies;
- information about payment for providing copies (if payment is required);
- the applicant’s address where the documentation will be sent;
- a reference to a normative act containing the right (or obligation) of the person to whom the request is sent to issue any documents.
The wording of the response is standard - if the applicant has the right to receive papers, the organization will send a positive response, otherwise - a negative response.
