Work experience is the calculated period of the total duration of labor and social activity, starting from the moment it begins. This is necessary to receive government-provided guarantees and compensation. Work experience plays an important role when assigning a pension and is a certain period that includes the period of work and other activities counted towards work experience. Service in the ranks of the armed forces of the Russian Federation is the duty and responsibility of a citizen of the Russian Federation and is enshrined in the Constitution of the Russian Federation in relation to males.

There are many changes in a person’s life, such as changing jobs, types of professional activities, military service and others. Work experience is confirmed by entries in the work book, and military service is confirmed by a military ID.

What documents govern making an entry?

Any entry in the work book of an accountant, teacher, doctor, as well as a military personnel, is primarily regulated by Labor legislation. The second document that you need to rely on when filling out a work record is the Rules for filling out work books, namely Chapter 21.

When filling out a work book, you need to consider the following:

  • It is allowed to fill out only: with a fountain pen;
  • gel pen;
  • ballpoint pen.
  • Colors you can use to make entries:
      blue;
  • black;
  • violet.

    A guy who has just graduated from college or even managed to work is drafted into the army, and he actually falls out of his usual life for a year. If he was employed, then most likely the employer will decide to terminate the employment contract with him, since it is unknown whether he will return to his previous place. After military service is completed, a gap in service record will appear for exactly one year. When looking for a job, the question will definitely arise where the potential employee was at this time. In order to ease the lot of both the employer and the potential employee after military service, it was decided to enter data regarding army service into the labor record.

    Recording military service in your work book will allow you to avoid having to provide a military ID and other papers over and over again that confirm the fact of service.

    Regulates the entry of such information into the Labor Code form and the Rules for filling out such documents (Chapter 21). An entry in the work book about military service, like any other, must be made with a fountain, gel or ballpoint pen. Its color is blue, black or purple. Of course, only one pen type and color should be used per entry.

    What documents must the employee present?

    In order for the head of the personnel service to make an entry about military service in the employee’s employment record, the employee must present a military ID, as well as a statement written by the employee requesting to make an entry in the employment record.

    If an employee has awards received during his service, then to make an entry he must present documents confirming the presence of an award - a medal or order .

    Important!!! An entry in the work book is made only by the head of the personnel department and only on the basis of documents confirming this.

    So, let’s list the main documents that the head of the personnel service relies on when making an entry in the work record of an employee who served in the army:

    • military ID, which is a supporting document;
    • statement of request to make a recording;
    • rules for filling out work books and inserts;
    • if the employee served under a contract, then the contract is also presented;
    • if there are awards, medals and orders, documents confirming their presence.

    Application and documents

    An application for amendments to the work book is drawn up in free form, indicating the following information:

    • Name of the organization;
    • The position and full name of the head of the organization or the personnel department, depending on whose authority includes maintaining personnel documents;
    • Position and full name of the applicant;
    • The application itself must include a request to enter data on military service;
    • Specify the attached documents;
    • Date and signature of the applicant.

    • Military ID;
    • If you have been awarded awards, you will be required to provide supporting documentation;
    • If the service was carried out under contract, then it is necessary to provide a contract.

    Rules or what you need to pay attention to

    Let us immediately note that there are no special rules for making entries.

    A record of military service is made in the same way as a record of hiring or dismissal.

    However, there is one feature - this is the start date of military service. Not included in the service life:

    • the period of serving the disciplinary arrest;
    • length of stay in a disciplinary military unit.

    But being in the distribution part is included in the service life. These points must be taken into account when filling out the labor form.

    Filling steps

    Before making an entry in the work book about military service, the head of the organization must sign an order authorizing the entry of the corresponding entry. After the order is approved, the head of the personnel service must familiarize himself with it and write a receipt for familiarization or put his signature on the order with a “Acquainted” visa.

    Let's consider making an entry in the work book in stages:

    1. Before starting to fill out, we check the employee’s documents, check the dates on the military ID, and check documents confirming the presence of awards or other distinguishing marks.
    2. In column 1, put the number in order. So, if the previous entry was, for example, No. 9, then the entry about military service will be No. 10. If there are no entries in the employee’s work book yet, then put No. 1.
    3. In column 2, indicate the date the entry was made. Be very careful - it is the date of filling out the work book that is entered, and not the date of the start of military service.
    4. In column 3, directly, a record of service in the army is made.
      Be sure to indicate the start and end dates of the service in the format DD.MM.YYYY and only in Arabic numerals. Examples of entries are given below. There are no special formulations in the legislation, so the entry can be made in free form. Usually the entry contains the following content: “Service in the Armed Forces of the Russian Federation from December 19, 2001 to December 23, 2002.”
    5. Column 4 indicates the documents on the basis of which the entry was made. As a rule, the number and series of the military ID are indicated there; you can also indicate its date of issue. If the employee has awards and insignia, this column indicates the names, numbers and dates of documents confirming the presence of such. If the employee served under a contract, then the contract data is also indicated.

    After making the entry, the head of the personnel service fully indicates the name of his position, his last name and initials and certifies the entry made with a signature and seal. The record can also be certified by the head of the organization.

    In some organizations, after each entry in the work book, the employee puts his signature and an “Acquainted” visa. This practice allows you to control all entries in the work book and, if there are errors, correct everything in time.

    On the first page (title page) we indicate information about the employee. According to paragraphs. “a” clause 9 of the Rules for maintaining work books, the last name, first name, patronymic and date of birth are entered on the basis of an identity document. There is still no regulatory act that establishes an exhaustive list of such documents. In this case, you can be guided by clause 45 of the Regulations on the procedure for considering issues of citizenship of the Russian Federation, approved by Decree of the President of the Russian Federation of November 14, 2002 N 1325. In addition to the civil passport, it includes a military ID as identification documents.

    We fill out the column about education, profession and specialty on the basis of relevant documents, for example a diploma (clause “b”, clause 9 of the Rules for maintaining work books).

    After we have indicated the date of registration of the work book, the employee certifies with a signature that the information entered is correct. Then the title page is signed by the employee responsible for issuing work books and affixes the seal of the organization (HR service). This is stated in Art. 2.2 Instructions for filling out work books, approved by Decree of the Ministry of Labor and Social Development of the Russian Federation dated October 10, 2003 N 69 (hereinafter referred to as the Instructions for filling out work books).

    How to record awards and other decorations received during service

    The work book also records information about existing awards and other distinctive signs received during service. The entry about awards is written on a separate line in order to enter a document confirming their availability opposite the entry about awards. A record of encouragement is made in the work book in the same way as a record of military service:

    • In column 1 the serial number of the entry is written.
    • Column 2 indicates the date of award. If the award took place during military service, the date of the award is indicated.
    • Column 3 indicates who awarded the employee, for what and what kind of reward.
    • Column 4 indicates the name, date, number and series of the document confirming the award.

    In the USSR, the first work book was born on June 25, 1919, when the All-Russian Central Executive Committee issued the “Decree on the introduction of work books in the cities of Moscow and Petrograd. It, like the form, contained so much private information that at one time it replaced a passport and an identity card (from 1923 to 1926). Since 1926, labor lists were introduced in the country, and in 1939 they returned to work books of a single standard. The “Appendix to Article 80 of the Labor Code” of the All-Russian Central Executive Committee thoroughly established the right of citizens to work, which was subsequently imposed on them as an obligation, by the “Rules on Labor Books”.

    If you didn’t make a record of your service in the RF Armed Forces?

    When filling out a work book, take into account the fact that the record of service in the Armed Forces of the Russian Federation must be before the record of employment. It may happen that there is no record of service in the Armed Forces of the Russian Federation in the employee’s work book.

    This could happen if the employee forgot to provide a military ID or lost his military ID at the time of his employment and did not provide it after it was restored. What to do in such a situation?

    If there is no entry in the TC, it’s okay. Of course, ideally, labor records should be arranged in chronological order, but the legislator does not apply any administrative penalties if the records are not arranged by date. Therefore, you can make an entry after making an appointment.

    If at the time of making an entry in the work book, an employee has lost his military ID, then he is required to provide a certificate confirming the loss of his military ID.

    If it turns out that the record of military service was made after the record of employment, there is no need to correct the serial number of any record. The work record does not tolerate corrections!

    Where can I get a work book?

    The employee receives a work book at his first official place of work. Sometimes it is given to graduate students, which is also legal. This document is stored by the employer or a person authorized by him, who is responsible for the correct maintenance of the document. On the day of dismissal, it must be given to the employee. If a work book is not issued to a dismissed employee, he has the right to demand compensation. If for objective reasons it is impossible to give the work book on time, then it is necessary to send the employee a notice that he must appear for this document. If the employee does not mind having the document sent to him by mail, he must give written consent.

    If an employee has drawn up a written request demanding that this document be issued to him, the employer or an authorized person must respond within three days.

    In the event of the death of an employee, the work book is handed over to close relatives against signature; an entry is first made in it about the reason for termination of the employment contract.

    The employee’s request for a copy of the work record book, which must be certified, must be satisfied within three days.

    Rules for maintaining a work book

    When filling out a work book for the first time, you must enter the following information:

    • personal data of the employee, which is filled out in strict accordance with supporting documents, for example, a passport;
    • data on education, specialty and profession;
    • information about military service;
    • if the employee has completed courses to retrain or improve the level of knowledge, then this information must also be entered on the basis of supporting documents.

    All records about admission, transfer, current position, combination and dismissal are made only with the name, number and date of the document that confirms this. Each entry is made under its own serial number.

    All information about the job is entered in the “Job Details” section. The employee must be personally familiarized with each entry. If he performs part-time work, then, at his request, the relevant information must be entered at his main place of work.

    Do corrections need to be made if mistakes are made?

    It happens that when making entries in your work book, you make mistakes, for example: you mixed up the lines, for example, the number, date and name of the document (order or military ID), and indicated “Name of the employer” in the line. This is not critical, as the information entered is correct. Therefore, erroneous spelling, provided that the information is correct, does not require any correction.

    If the employee is already serving under a contract , then the employer does not have the right to hire him, since the employee does not have the right to work in two places at the same time, excluding cases of part-time work.

    All entries made in the work book must be made in clear and legible handwriting. The main thing is that the records are neat and without erasures. After all, this is a document issued once and for life, therefore, the more accurate and legible the records are, the easier it is for the employee to draw up documents for a pension.

    This also happens when an employee is drafted into the army. In this case, the employment contract with the employee is terminated, an entry is made in the employment contract indicating the reason for termination of the contract, details of the document that served as the basis for termination of the contract.

    In this case, this is an order signed by the head of the organization and certified by a seal. Under the entry, the HR chief puts his signature indicating the full name of the position, as well as his last name and initials, and certifies with a seal. The employee, in turn, puts his signature and the “Acquainted” visa.

    Dismissed due to death due to loss of trust

    Bureaucracy cannot be chewed out by a wolf, even though Mayakovsky had intended it: to this day, the relatives of an employee who died at work are written in the book: “Dismissed due to death.”

    There are many funny incidents associated with the entries in the “trudovukha”. Then Soviet officials will say: “Dismissed for conscientious attitude to alcoholic beverages” or “dismissed from the collective farm due to failure to show up for work for 3 years, 6 months. without a good reason” (they waited a long time for the owner of the work book to show up for work!) These are our modern ones: “Dismissed without payment of compensation due to intimate relationships in the workplace”, “dismissed for repeatedly performing work duties without good reason.” And so on.
