The note is drawn up in two copies, one of which is given to the manager to familiarize himself with the problem and make decisions on further actions, and the second remains in the structural unit (just in case).

You can write a document either by hand or print it on a computer. The first option is currently used extremely rarely; most often, notes are prepared in printed form. This is largely due to the fact that often when leaving a note, various tables, graphs, diagrams, diagrams and drawings are used - in special computer programs it is much more convenient and faster to draw them (by the way, for clarity and a more pronounced effect, it is best design in color).

The volume of an analytical note is not limited in any way - sometimes it can reach several pages, but it is believed that their number should not exceed 6-7 sheets. Moreover, if the document is multi-page, it must be fastened in a special way using strong thread, placed in a thick cover, or ordered bound from a printing house.

It is not necessary to register an analytical note, but if the company monitors the movement of internal documents (officials, memos, acts, etc.), then, of course, it is worth registering it.

The document can be either single in nature or used on a regular basis (for example, when preparing quarterly or annual reporting).

Requirements for registration and example of a certificate from the place of work

The form of the certificate is optional. It is drawn up by an employee of the HR or accounting department on A4 sheet or on company letterhead in printed or handwritten form. The paper must include the following information:

  • Name, company details, as complete data as possible;
  • Details of the addressee or about;
  • Title, date and document number;
  • Confirmed information;
  • Data and visa of an authorized representative of the organization, stamp.

In some cases, you may not indicate for whom the paper is intended, but simply write the purpose of issuance. The company's letterhead must contain details in accordance with the requirements of GOST 6.30-2003, that is, emblem, name, INN, KPP, OKPO, OGRN, reference data.

Information about the company that prepared the information must be extremely detailed. Abbreviations are not allowed in the document. A personnel employee must take information about the position and periods of work for reference from the employee’s personal card, orders for admission, transfer to another department or change of position, that is, on the basis of available evidence. Information about an employee’s income is indicated on the basis of the staffing table and payroll statements.

The employment certificate must contain reliable and up-to-date information, otherwise the company may be fined. In the case where additional documents are attached, this should be recorded in the certificate itself in the form of an appendix. Upon receipt of the paper, the applicant is required to check it for errors and request a new version if any are found.

The document is passed from hand to hand personally to the employee. The organization does not have the right to provide information about the work activities of another employee according to the law on the protection of personal data (FZ-152).

The law does not prohibit a company from preparing certificates in English or another foreign language.

The form of a certificate of employment must contain the following points:

  • The name of the organization is placed at the top, then the legal address and telephone number at the bottom;
  • The next date is the date the certificate was prepared. In the center is the name of the document “Help” and its number;
  • Below are the necessary data and certainly the full name of the employee to whom it was issued;
  • Afterwards it is indicated for what purpose the document was issued (or “at the place of request”);
  • At the bottom, the paper must be endorsed by either the head of the company or his authorized representative, indicating the position and deciphering the signature. If the company has a seal, then a seal is affixed.
