What is an employee bonus request?

The very concept of “petition” presupposes an appeal to a higher-ranking person who has a certain ability to resolve the problem or contribute to its resolution.

Remuneration for each specific employer can be formed from several components (Art.

129 Labor Code of the Russian Federation):

  1. the salary itself, intended to pay for the work duties performed;
  2. additional payments to compensate for work under certain working conditions;
  3. incentive payments aimed at encouraging labor achievements.

The composition of the applied remuneration system is fixed in a special internal regulatory act of the employer (regulations on remuneration or collective agreement). In the same document or in a separate one, called the provision on bonuses (or on incentive payments), the rules for the appointment and payment of bonuses are written down (Article 135 of the Labor Code of the Russian Federation). For individual employees whose bonuses are awarded on an individual basis, these rules can be included in their employment contracts.

When incentive payments are included in the remuneration system, they are regular in nature and are paid at certain intervals for certain indicators.

At the same time, the remuneration system may also provide for the payment of one-time bonuses, which will be associated with certain irregular events.

These may include events both related to achievements in work activity and not related to it.

Required details

Requisites are mandatory information provided for by the rules of document flow, without which the paper may be considered invalid. Russian legislation does not provide for a strictly established form for filing an application for a bonus ; it is submitted according to the rules adopted for an internal memorandum.

It should reflect the following data.

  • Position, full name of the employer, who in the case of the application is the addressee.
  • Position, full name of the addressee - the one on whose behalf the petition is being submitted.
  • Document number and date of its preparation.
  • Title of the document.
  • Full name of the recipient, his specific place of work (department name).

Who has the right to draw up

The document can only be drawn up by the employee’s immediate supervisor, to whom he reports, or by the head of the HR department, but not by the employee himself. The director of the company makes the decision to grant the bonus.

Compilation rules

The rules for drawing up such documentation are provided for by the company’s internal regulations and usually there is a ready-made sample.

A similar document is generated on an A4 sheet or on the company’s letterhead. It is advisable to formulate the text on one sheet of paper without errors or typos.

The formation of the document must also be completed correctly in accordance with the requirements of office work:

  • The header of the document is indicated in the upper right corner, with the initials of the originator indicated at the very end of the header;
  • It is permissible to write the name in capital letters without a period at the end of the sentence; the name is written in the middle of the sheet;
  • The text itself usually begins with the word “Please.” It is permissible to use other expressions, but in any case they should be laconic. The text is written in a concise business style;
  • Specify the amount of the bonus in accordance with accepted standards;
  • Reason for promotion;
  • If available, attach documents;
  • The signature should be indicated in the lower right part of the sheet, and the date in the left.

Errors in compilation

It is unacceptable to draw up a document for yourself personally. Indicate in it the amount of the bonus, which does not correspond to the established standards adopted in the organization or art. 191 Labor Code of the Russian Federation.

  • After the manager accepts a petition to encourage the employee and a positive decision, the manager issues an order, for which, unlike the petition, there is a unified form T-11 or T-11a, approved in 2004 by a resolution of the State Statistics Committee of the Russian Federation.
  • The petition, in turn, is free-form, but using well-formed sentences and appropriate design and style.
  • In general, the entire bonus process occurs as follows:
  • Initially, the application is submitted by the employee’s immediate superior;
  • The head of the enterprise puts a resolution on the received document;
  • An order is drawn up;
  • A week after the decree is issued, entries must be made in the employee’s personal card and work book.

Who signs the document and are stamps required?

The application must be endorsed by the head of the department, workshop or other formation in which the employee works. If at the enterprise there is a chain of superiors of various ranks to whom the employee reports, all of them must sign their signatures with a decoding and indicating their position.

According to the legislation regulating the formation of such documents, the application can be marked with the seal of the organization - stamp, product or service.

Features of drawing up a paper on incentives for a manager

The details of an application for a bonus submitted to the head of a structural unit do not differ significantly from a similar document submitted to an employee.

The petition, being a variant of submission for encouragement, must be prepared according to the general rules. In the case of an application for a manager, the form may include columns for more information filled out by an employee from the personnel department.

Important! If the manager receives a bonus, the petition is included in the personal file for indefinite storage. A petition for an employee must be kept in a personal file for 75 years.

Entering information into the work book

According to clause 24 of the Decree of the Government of the Russian Federation of April 16, 2003 No. 255, personnel officers enter information about rewards (incentives) for merit into a special section of the work book if the employee:

  • awarded state awards, he was awarded a state honorary title;
  • awarded a certificate of honor, diploma, badge or badge, or was awarded some title by the employer;
  • rewarded in any other way provided for by law, collective agreements, internal labor regulations, charters and discipline regulations.

Taking into account the last point, an entry is made in the work book about any incentive - both from the state and from the employer. At the same time, local regulations of organizations may clarify what other types of incentives will be marked accordingly. If an additional cash bonus is paid, this must be stated both in the order and in the entry made in the work book. Bonuses provided for by the remuneration system are not indicated. This is clearly stated in paragraph 25 of Government Resolution No. 255.

General design rules

The procedure for preparing documents for the appointment and issuance of awards is approved by the regulatory acts of the organization and must comply with the legislation at the regional level.

To prepare an order adopted on the basis of a petition, a unified form No. T-11 (T-11a) was developed and approved by the Decree of the State Statistics Committee of Russia dated January 5, 2004.   3. The name of the document “Application for a Prize” is written in the middle of the line with a capital letter without a period after it. It is possible to write it in lowercase with a period after it. It is allowed to write the entire name in capital letters without a period after it.
  4.
